Membership Meeting Minutes

10 December 2001

A.     Madam President Kathy Paavola called the meeting to order. Roll call was taken. Dick Lang and Diana Saenger were absent.

B.     Announcements - none.

C.     Secretary's report - Dawn Frandrup

The prior month's minutes were read and several corrections were made. Under section E.8., Judy's last name is Vincent and she was not able to attend the gambling convention. Bonnie asked that the word several be changed to a few under section G (youth committee). Under section J.6. Kathy volunteered to check on the band's availability, not Penny. Lynn pointed out that the incident of a cell phone being stolen at a birthday party at the clubhouse was missing from the minutes.

Marge Barrett made a motion to accept the minutes. Alice Pederson seconded the motion. Motion passed.

D.     Treasurer's report - Marlene Collen

1.   Copies of the report were available. Balances on hand as of 11/30/01: Checking $1407.42, Mission Savings $28,000, Mission Checking 3,190.66. Total income for the general fund for November was $200 and disbursements were $708.87. The Mission Checking account had disbursements of $978.89 and earned $0.16 interest. There is still money at the Lino Bank, but Marlene will close the account this month and transfer the money to Community Pride Bank.

2.   Expenses for the Children's Halloween party were $457.62, but there were cash donations of $107.71, bringing total expenses down to $349.91.

3.   Bonnie Harvey made a motion to accept the treasurer's report. George Paavola seconded the motion. Motion passed.

E.     Gambling Report - Marge Barrett

1.   For the month of November: Gross receipts $36,755, net receipts $7,626. We were $18 short out of the $36,755. Net profit was $629.90.

2.   The gambling fund reconciliation (schedule F) is for the checking account. Schedule C/D is for paying clubhouse bills, but we're not doing that. The lawful gambling and expense worksheet is our 45/55.

3.   Allowable expenses for the month of January are $1000. MN Dept. of Revenue tax is $63.75 and Marge's fax/phone is $23.18.

4.   Bonnie Harvey believes that the bottom line of Column J on the Lawful expenses

worksheet is wrong. The numbers are subject to change, so by next month, they will be changed. Ginny made a motion to accept the lawful expenses for January subject to audit. Bert seconded the motion.

5.   Check register was available and its balance as of 11/30/01 was $16,454. Physical inventory and paychecks payable (salaries) were also available.

6.   Gaming News (Nov/Dec) - talks about peeking and forgery in November.

7.   Convention - papers were distributed showing classes that were attended. Marge asked for approval of the additional expenses of $693.84 for Kathy and George. Jeff Hintz made a motion to approve the expenses. Ginny seconded the motion. Motion passed.

F.      Special Guest - Fire Chief- Ardie Anderson

Ardie was not able to make it, but will be here next month. We'll be getting the old engine #2. Jim is the only volunteer firefighter from the beach, but having a truck will encourage others to join and allow faster response time. Jim has applications for firelighters - applicants need to pass a physical exam, get the required medical training, and take firefighters school. There are no age limits.

G.     Senior Committee - none

H.     Youth Committee - Tara Nelson

1.   There will be a children's x-mas party from 12:00 - 3:00 on Saturday. Hotdogs (leftover from the Halloween party), juice, hot chocolate, crafts, and a coloring contest will be provided. Age limit will be the 6th grade and there will be a Mrs. Santa. Tara needs volunteers to help; it's not meant to be a baby-sitting service.

2.   Lynn Stein mentioned that she is uncomfortable with a coloring contest. She suggested just displaying the children's work. It was agreed that there would not be a contest.

I.      Rental Report - Kathy Paavola.

1.   There was a cancellation for a party on Christmas day.

2.   The rental committee met twice to go over the rental agreement. Nothing changed except for the prices. Copies of the new prices were distributed. Parties were grouped into different classes, with different prices for each type.

3.   George made a motion to add Kathy to the rental committee. Marge seconded the motion. Motion passed.

4.   Bonnie wanted to know what a miscellaneous party entails. She thought the category was too vague and asked to eliminate it. Kathy said she would remove it. For miscellaneous type parties, 3 people from the rental committee will make the decisions.

5.   Virginia mentioned that graduation parties were not listed. Kathy will add them.

6.   Mike mentioned that there is no listing for stag parties, but Kathy does not want to support this.

7.   Bonnie disagreed with paragraph 3 on the Rental Agreement regarding the definition of community activities. She wants the wording changed to indicate whether it includes our community or all communities. The wording will be changed to read "any non-profit community activity".

8.   Tara asked that the "senior citizen group activities such as:" clause in Paragraph 3 be changed.

9.   Penny disagreed with the statement "the deposit will not be refunded unless that facility can be rented to another party" in Paragraph 2. The rental committee will review the time frame and charge (possibly $25) for cancellations and rewrite it.

10. Jeff Hintz made a motion to use the prices listed for now, and rewrite the guidelines for next month. Marge seconded the motion. Motion passed. The committee will rewrite the policy and bring it back.

J.      Snowplowing

No one will be plowing this year! Lynn mentioned that the minutes said that Mike would put in a bid. Mike said he couldn't do it in the morning, so no one will be plowing.

K.     New Business

1.   Clubhouse keys - there are too many out! Jeff Hintz suggested changing the locks and Bonnie made the motion. Tara seconded the motion. Motion passed.

2.   General Clubhouse Upkeep

Fire extinguishers were checked and are ok. The Exit lights are out and need to be fixed. Tara will ask Doug to look at them.

The sink in the kitchen has been dripping for a year. Kathy needs to make an appointment with Bill to check the washers

No results on the water test yet.

Kathy noticed a leak in the hood above the flattop - needs looking into. She also ordered service from Plunkett for one year. Traps were put in and he will check them in January. There will be a couple of plug-in lights put up on the walls in the spring for bugs.

3.   Winter Dance

Will be January 12th from 8:30 - 12:30. The band will play, and there will be beer, pop, and possibly sloppy joes. Cover charge will be $5 at the door. Donations will be taken for the beer. Must be 21 or older to attend.

Bonnie has a problem with the age limits on parties. She says it leaves certain age groups out. As a result, the children's x-mas party will be open to anyone. George thinks people under 21 should be allowed at winter dance. Jeff says people under 21 should be allowed with a guardian. Age restrictions will be decided later.

4.   The fax/copier machine at Kathy's isn't working well. Virginia bought a new one at

Sam's, but Kathy asked for approval to exchange it and get a smaller one. The old one will be sold.

5.   Ideas for February activities are needed and more parents need to get involved. Tara suggested that the youth committee put up a sign for volunteers for a dance around February 14th that would be to kids of all ages.

6.   Boy Scouts - Kathy received a letter from Lori Erickson requesting that a thank-you be put in the newsletter for the scouts for raking and hauling Hazel's leaves away. She would also like reimbursement for half of the cost of camping and supplies (food $79.86 and supplies $39.95). She also asked for $400 for good sleeping bags for the scouts, which they need to get their winter camping badges. Lynn suggested that if we buy them, they should belong to the community. Marge made a motion to allow up to $400 for the scouts to use for sleeping bags. Mike seconded the motion. Motion passed. The community will also ask the scouts for a report of things they do for the community. Bert made a motion to pay Lori $60 for reimbursement of expenses. Dawn seconded the motion. Motion passed.

7.   A donation of $112.50 was received from Brad Lambeau. Tara made a motion to apply the donation towards the loan. Lynn seconded the motion. Motion passed and Kathy will send him a thank-you.

8.   The Red Cross sent a letter requesting a donation. We will not be sending them money.

9.   Senior X-mas party was held last Saturday. The East Bethel Lions & Lionesses told Virginia we don't need to pay anything. A thank-you will be sent. Many people thought that the party was by invitation only, but all seniors are welcome.

10. Hazel resigned, but will work until the end of the month. Kathy knows someone who may be interested in cleaning.

11. Marge Barrett held a fundraiser (Weekender Clothing Party) and received $115 to put towards the loan.

12. George suggested that at least $1500 be held in the general account to make payments in case something were to happen. He made a motion that donations/earnings should go towards the loan as long as there is $1500 in the general account. Marge seconded the motion. Motion passed.

L.     Jeff Hintz made a motion to adjourn the meeting. Marge Barrett seconded the motion. Motion passed.
